Searching Documents.


The search list on the search page (pictured above) contains several pre-defined queries available to the user:

Keyword Search for Documents  -  Allows the user to search the database by selecting a type of document, and then entering keywords, and/or date range of document.
Index of Ordinances  -  Allows the user to search for index of Ordinances for a particular year or subject by entering year and/or keyword.
Index of Resolutions  -  Allows the user to search for index of Resolutions for a particular year or subject by entering year and/or keyword.
Contracts for past 60 days  -  Displays a list of contracts dated within the past 60 days.
Council Files for past 60 days  -  Displays a list of council file documents dated within the past 60 days.
Minutes for past 60 days  -  Displays a list of minutes documents dated within the past 60 days.
Ordinances for past 60 days  -  Displays list of ordinance documents dated within the past 60 days.
Resolutions for past 60 days  -  Displays a list of resolution documents dated within the past 60 days.
 
Keyword Search

Upon selecting the Keyword Search query, the user will be taken to the Find By page where they can select from a list of document types to search on and then enter any required search criteria to perform the actual search. 

Document types to search by:
Contracts  Includes Contracts, Agreements, Deeds, Interlocal Agreements, and Easements. 
1999 to present
Council Files Contains all current items considered by Council. Includes Memos, Council Action Sheets, and Letters.
1989 to present
Historical Data Contains Ordinances, Resolutions, and Minutes.
1885 to 1948
Minutes Minutes of Regular and Special Council Meetings.
1975 to present
(See also Historical Data, prior to 1948)
OLD FILES All items considered by Council. Includes Memos, Council Action Sheets, and Letters.
1970 to 1988
ORDINANCES Ordinances adopted by Council.
1948 to present.
(Prior to 1948 – see Historical Data)
RESOLUTIONS Resolutions adopted by Council.
1907 to present

Enter your search criteria:
Leave any or all entries blank if you are not sure what you are looking for.
Doc Type Selected: Contracts This will be the first type selected when you click on the Keyword Search Option.
Enter Begin Date (MM/DD/YYYY) Use the MM/DD/YYYY format on both Begin and End Date Input boxes to search for date range.
Enter End Date (MM/DD/YYYY)
Enter Keyword Enter Keyword to search under document type selected.
Click on the find button to perform the search based on the document type selected and the search criteria entered above.
Highlight Hits Use this checkbox if you want the keyword highlighted on the resulting documents. 

Search Results

The search results will be displayed in the right side of the screen. The user may view the actual document by selecting the 'OPEN' link next to the listed document on the search results. If the search produces multiple listings, you will need to open each one to view all records.
 

Viewing Documents

Opening the displayed document opens the View Page causing the browser activeX control to be activated and the document displayed in the Viewer at the bottom left side of the screen.

The Fortis PowerWeb Document Viewer lets you view all the pages of a document, print a document, rotate and flip the document, view it full page or actual size, and zoom in and out. You'll often want to view each page of a document that has multiple pages. You can move forward or backward to other pages, one page at a time, or you can jump to a specific page number in the document. Certain page types may extend beyond the Viewer borders. Use the scroll bars to see the entire page. 

When you are viewing a document with multiple pages, the page number control at the left edge of the Viewer window toolbar lets you quickly see the current page and the total number of pages in the open document. You can enter a page number in this edit box and advance directly to that page in the document. 


Type a page number in the page number edit box on the Viewer window toolbar and press the Enter key. The Viewer displays the new page number. To jump to a specific page in a document in the Viewer, edit the page number.

With the cursor over the document, clicking the right mouse button will display a menu of functions.

Full Screen mode:
To view the document in Full Screen mode, Right Click the mouse button. A submenu appears, click on Full Screen.
Moving through the document in Full Screen: Hold down the Shift key and press the Page Up or Page Down keys to move through the pages. Viewing options such as rotate, size, and contrast are available by clicking on Right mouse button.  To return to normal view screen, press the Escape [Esc] button on the keyboard or Click Full Screen again from the submenu. 

Viewer Buttons

Mouse-over the buttons on the viewer for a description of the button's function.

Insert and Delete Page Buttons are not functional. 

Clicking on the Annotation button will not reveal annotations because there are no annotations on these documents.
 

Printing Documents
To print the open document, click the Print button on the viewer. The document will print using your default printer device.

 Select the range of pages to print from the Page Selection option. ALWAYS SELECT ONE PAGE LESS THAN THE TOTAL NUMBER OF PAGES. DO NOT PRINT THE LAST PAGE. 
To print select pages, click on the Selected Pages option in the print dialog box. Click the first page you wish to print, press and hold [Ctrl] and then click on each desired page. See figure below.

 

Exporting Documents
To export the open document, click the Export button on the viewer. Select Portable Document Format (PDF) from the Export Format on the Export Dialog box. As with printing DO NOT EXPORT LAST PAGE.

As mention above in printing the document, you can select pages to export by using the Selected pages option.
